How to Get Court Records
Anne L. Durden, Clerk of Superior Court, is custodian for Jefferson County Superior, State, and Juvenile criminal, civil, traffic, and juvenile records. Search published Superior or State material through Georgia Courts E-Access, which routes to PeachCourt and requires an account. Document images may carry fees. The database is only one channel. The clerk counter, telephone, mail, email, fax, and court-related open-records route cover missing or older material.
Probate, Magistrate, and municipal clerks hold their own records. Probate handles wills, estates, guardianships, commitments, and licenses. Magistrate handles warrants, small claims, dispossessory matters, and other limited cases. City clerks keep municipal ordinance and traffic files. Identify that custodian before submitting a request.
- Identify the court, case number, approximate year, and exact record.
- Read the docket in PeachCourt if the matter is in Superior or State Court.
- Choose online image access, counter service, phone, mail, email, fax, or a written request.
- Confirm whether a plain copy, certified copy, transcript, or exhibit is needed.
- Verify retrieval, payment, postage, and delivery details with the custodian.
Jefferson County Clerk Channels
In-person requests go to the Clerk counter at 202 E Broad Street in Louisville. Call 478-625-7922 before travel to confirm hours, the correct desk, current cost, and whether an old file must be retrieved. Mail goes to Clerk of Superior Court, P.O. Box 151, Louisville, GA 30434. A useful letter identifies the court, number, year, document description, copy type, return address, and contact details.
Court-related open-records requests route to Anne Durden at anne.durden@gsccca.org. The office also publishes fax 478-625-4037, but does not state which requests it accepts by fax. No public terminal count or walk-in copy turnaround was confirmed. Ask rather than assume. The Clerk can explain record process and cost but cannot give legal advice.
Types of Court Records
Jefferson County court records range from the docket index to filed pleadings and authenticated copies. PeachCourt identifies many public document classes, but availability depends on the court, filing method, age, and access status. A docket entry can exist without a viewable image.
- Docket proceedings, statuses, settings, and disposition entries
- Complaints, petitions, answers, motions, notices, and briefs
- Signed orders, judgments, decrees, and dismissals
- Filed exhibits, affidavits, certificates, and transcripts when public
- Plain, certified, and securely authenticated digital copies
Three Jefferson County Record Products
A docket is a chronological register of activity. It can show when a paper was filed, when a hearing was set, and how a matter ended. A filed document is the actual complaint, motion, answer, order, judgment, exhibit, or other attachment. It may be fee-gated, undigitized, or restricted even when its docket entry is public.
A certified copy is authenticated by the clerk. Printing a PeachCourt image does not make it certified. This distinction prevents needless expense. Read the index first, identify the precise document, then choose a plain copy for information or clerk certification when formal authentication is required.
Docket: dated case activity index.
Filed document: the paper or electronic filing behind an entry.
Certified copy: a custodian-authenticated reproduction.
What a Court Record Contains
A complete public case file can combine identification fields, the chronological docket, filed papers, court settings, and outcome entries. PeachCourt's criminal information page may show judge, status, co-defendants, attorneys, charges, disposition and date, calendar events, proceedings, and documents. Civil detail can include parties, pleadings, entries, and images. Fields vary by court.
| Case Number | The exact court identifier, including its punctuation. |
|---|---|
| Pleadings | Petitions, complaints, motions, answers, and notices. |
| Orders & Judgments | Signed rulings, decrees, dismissals, and outcomes. |
| Docket | Chronological entries, filing dates, settings, and status. |
| Exhibits | Attachments that may be separately held or restricted. |
Missing Jefferson County Document Images
An entry without a PDF does not prove the document is gone. PeachCourt advises users to refresh or request a missing item, then contact the court when it remains unavailable. Older paper, bound, archived, or microfilmed records may need clerk retrieval. The vendor's statement that many courts offer access back to about 2005 is not a Jefferson County coverage guarantee.
Transcripts also follow another route. A court reporter or transcriber normally prepares the record of oral proceedings. Jefferson County pages did not publish a reporter order form, rate, name, or turnaround. Ask the Clerk or judge's office who reported the hearing. Exhibits may be separately indexed, sealed, or held under courtroom procedure, so describe the exact case and item.
Certified Copies and Fees
Plain copies reproduce the public record. Certified copies add the Clerk's authentication. Jefferson County publishes a per-page plain rate and a stepped certified-copy rate. PeachCourt image access uses separate vendor pricing, and a checkout amount may combine page, eAccess, and convenience charges. Confirm the total before purchase.
| Item | Amount |
|---|---|
| Plain Clerk copy | $1.00 per page |
| Certified copy, first page | $2.50 |
| Each later certified page | $0.50 |
| PeachCourt document | Generally $0.50 per page plus applicable charges |

Jefferson County eCertification
GSCCCA eCertification provides a digital certified-record channel. Create an account, submit a new request, select Jefferson County and the document type, complete the required fields, and submit. The clerk processes the request before final payment authorization. An email then supplies an authentication link for the secure PDF. The county flyer does not publish the exact fee or turnaround.
The GSCCCA eCertification portal shows the request and authentication entry points.
This secure workflow differs from downloading an ordinary PeachCourt image because the clerk processes and authenticates the requested record.
Public Access and Sealed Records
Georgia court records are generally public, but law and court orders protect some material. Juvenile records, adoption documents, sealed filings, protected identifiers, and unexecuted proposed orders are not ordinary public portal content. A blank search can also reflect the wrong court, an old file, or a number mismatch. Ask the custodian which condition applies.
Key Rules:
Uniform Superior Court Rule 21 states the public-access rule and process for limiting access.
Rule 21.6 addresses redaction, protected identifiers, and sealed unredacted filings.
O.C.G.A. ยงยง 50-18-70 and 50-18-71 presume public records available unless an exemption applies and set response duties.
Jefferson County Custody Boundaries
The unified Superior Court Clerk does not hold every public record generated in Jefferson County. Probate maintains estate, guardianship, license, and commitment files. Magistrate keeps its small-claim, dispossessory, warrant, and limited criminal material. Each municipal clerk controls that city's ordinance and traffic docket. Real-estate records use GSCCCA systems rather than the PeachCourt case path.
A formal Georgia Open Records Act request does not override a seal, juvenile confidentiality, adoption restriction, protected identifier, or judge's order. Requests for sealed access may require a motion or hearing under Rule 21. A denial should identify the exemption or controlling limit. Avoid including needless protected data in a request.
Older records remain another custody issue. The current technology path includes PeachCourt, EZ-Filing for criminal submissions, and eCertification, but no verified Jefferson County digitization launch date or complete historic coverage statement was found. Ask for paper, archived, bound, or microfilmed retrieval when the online record ends too early.
Digital filing systems also serve different jobs. PeachCourt supports civil filing and public document access for participating Superior and State matters. EZ-Filing receives criminal submissions from registered filers. GSCCCA eFile handles real-estate instruments, not the court docket. Using the wrong system can create a false impression that the desired Jefferson County court record is missing.
